Client Pool & Workload gives your practice a structured way to manage unassigned clients and distribute caseloads across providers. Instead of ad-hoc client assignment that leads to overloaded clinicians and idle capacity, CareIncite shows you each provider's current load and helps you assign new clients based on availability, specialization, and location.

The Caseload module

Navigate to Caseload from the main sidebar. The module has two views:

Clinician View— Shows each provider with their current caseload count, capacity, and assigned clients. Use this view to identify providers with room for new clients or providers who are overloaded.
Client Pool— Shows clients who are not currently assigned to a provider or who need to be reassigned. New intakes, transferred clients, and clients whose provider has left the practice appear here.

How workload assignment works

1. Set provider capacity
Each provider has a configurable caseload capacity — the maximum number of active clients they can serve. Set this from the provider's profile or from the Clinician View. Capacity can differ by provider based on their schedule, role, and clinical focus.
2. Review the client pool
Unassigned clients appear in the Client Pool tab with their intake date, insurance status, location, and any service requirements. Sort by wait time to prioritize clients who have been unassigned the longest.
3. Assign to a provider
Select a client from the pool and choose a provider. CareIncite shows each provider's current load vs. capacity so you can make an informed assignment. The assignment is recorded and the client moves from the pool to the provider's caseload.
4. Monitor balance
The Clinician View provides an at-a-glance view of caseload distribution. Providers nearing capacity are highlighted. Use this view in supervision meetings to discuss workload balance and make reassignment decisions proactively.

Why caseload balance matters

Unbalanced caseloads create two problems. Overloaded providers burn out, deliver lower-quality care, and are more likely to leave the practice. Underloaded providers represent idle capacity that is costing the practice money without generating revenue.

Client Pool & Workload makes caseload distribution visible so you can address imbalances before they become retention problems or revenue gaps.

Who can access Caseload

The Caseload module is accessible to users with the ceo, admin, or support_staff account roles (read/write). Users with the supervisor company role can also access caseload data for their assigned team. The qmhp company role has read-only access to caseload.
