The Marketing module gives your practice visibility into the intake pipeline — where leads come from, how they convert, and which referral sources produce the most revenue. More leads and better conversion mean more active clients, which drives caseload growth, potential expansion, and sustained revenue increases.

Why marketing drives revenue

While Capture Money recovers revenue already earned and Save Money reduces operational waste, Make Money is about growing the top line. Marketing is the engine: more qualified leads mean more clients, more billable sessions, and eventually the volume to justify new locations and staff.

Without marketing visibility, practices make growth decisions blind — spending on referral sources that don't convert, ignoring channels that do, and missing the connection between marketing spend and actual revenue. CareIncite closes this gap.

The Marketing module

Navigate to Marketing from the sidebar (/marketing). The module has three tabs:

Leads— All incoming leads with source, contact info, status (new, contacted, scheduled, converted, lost), and date received. Leads flow in automatically from GoHighLevel or can be added manually.
Sources— Breakdown of where your leads come from: website forms, phone calls, physician referrals, community events, social media, and other channels. See which sources produce the most leads and the highest conversion rates.
Funnel— Conversion funnel visualization from lead to active client. Shows drop-off at each stage so you can identify where leads are lost and focus improvement efforts.

Key marketing metrics

Lead volume
Total leads received in the current period. Trend comparison shows whether your marketing efforts are generating more or fewer leads over time.
Conversion rate
Percentage of leads that become active clients. Broken down by source so you can see which channels convert best. A high-volume source with low conversion may be less valuable than a low-volume source with high conversion.
Time to conversion
Average days from lead received to first session. Shorter conversion times mean faster revenue and better client experience. Long conversion times may indicate bottlenecks in your intake process.
Revenue per source
Total billed revenue attributed to clients from each referral source. This connects marketing activity directly to financial outcomes — the ultimate measure of marketing ROI.

Automated lead capture

When connected to GoHighLevel, leads flow into CareIncite automatically via webhooks. New contacts, form submissions, and pipeline stage changes appear in the Marketing module in real time. Who can access Marketing

The Marketing module is accessible to ceo and admin roles (read/write) and specialist role (read-only). Users with the intake company role get upgraded to read/write access, making it ideal for intake coordinators who manage leads daily.
