Getting Started

This guide walks you through the fastest path to value with CareIncite. By the end, you will have a populated billing dashboard, active eligibility monitoring, and your first scheduled report. Most practices complete these steps in under an hour.

Before you start
  • A CareIncite account (provided by your Triple Threat Mathematics representative)
  • Access to your Notenetic EHR system for data export
  • A recent billing CSV export from Notenetic (any date range)
  • Your provider list with NPI numbers

Sign in and complete your practice profile
Log in with the credentials provided during onboarding. On first login, you will be prompted to complete your practice profile: practice name, primary location, tax ID, and your contact information. If your practice has multiple locations, you can add them later from Settings → Locations. Start with your primary site to get up and running quickly.

Add your providers
Navigate to Settings → Providers and add each clinician who bills for services. You will need their full name, NPI number, and the location they are assigned to. Providers added here become available in the billing dashboard, performance views, and target-setting workflows. You can also invite them as users with the Provider role so they can see their own performance data.

Import your first billing data
Go to Data → Import and upload a billing CSV from Notenetic. CareIncite automatically maps columns, validates data, and flags any rows that need attention before import. For your first import, we recommend at least 4 weeks of billing data to populate trend charts and establish baseline performance metrics.
Tip: If you have access to the Notenetic API, skip manual imports entirely. Connect directly from Settings → Integrations → Notenetic for automated daily syncs.

Set billing targets
From the Billing Dashboard, click Set Targets to configure weekly billing hour targets for each provider. Targets power the performance gauges, alerts, and trend comparisons throughout CareIncite. Start with your current expectations — you can adjust targets at any time as your practice grows or staffing changes.

Run your first eligibility check
Navigate to Eligibility → Watchdog to see the current eligibility status of every active client. CareIncite flags clients whose insurance has lapsed, is about to expire, or has changed — before you deliver services that may not be reimbursed. This is the core of the Capture Money pillar. Practices typically recover 5–12% of lost revenue within the first month of using Eligibility Watchdog.

Schedule your first report
Go to Reports → Scheduled and set up a weekly payroll report. Choose the day and time for delivery, select the recipients, and CareIncite will automatically generate and email the report every week. Available report types include payroll summary, eligibility status, caseload overview, provider performance, and more.
You are up and running
