The Notenetic integration connects CareIncite directly to your Notenetic EHR, eliminating the need for manual CSV exports. Once connected, CareIncite automatically pulls session data, client records, and provider information on a recurring schedule. Your billing dashboard, eligibility monitoring, and analytics stay current without any manual intervention.
What the integration syncs
Session data
Date of service, provider, client, service code, billing units, duration, billed amount, and payer. This data feeds the billing dashboard, weekly performance, efficiency metrics, and all revenue analytics.
Client records
Client demographics, insurance information, MCO assignment, coverage dates, and active/inactive status. This data feeds the Eligibility Watchdog, client management, and caseload modules.
Provider records
Provider names, NPI numbers, credentials, and active status. Keeps your provider list in sync without manual updates when staff changes occur.
How to connect Notenetic
1. Navigate to Integrations
Go to Settings → Integrations from the sidebar. Find the Notenetic card and click Connect.
2. Enter your credentials
Provide your Notenetic API credentials. These are different from your Notenetic login credentials — contact your Notenetic account representative to obtain API access if you do not already have it.
3. Test the connection
CareIncite validates the credentials and performs a test sync. If successful, you will see a confirmation with the number of providers, clients, and sessions available. If the connection fails, the error message will indicate whether the issue is with credentials, network access, or API permissions.
4. Run the initial sync
Once connected, click Sync Nowto pull your full dataset. The initial sync may take 15–30 minutes depending on the size of your practice. Subsequent syncs are incremental and typically complete in under a minute.
Sync schedule
After the initial sync, CareIncite pulls new data from Notenetic automatically. The default sync schedule runs every 4 hours. You can also trigger a manual sync at any time from the Notenetic Data page by clicking Sync Now.
Each sync is logged with a timestamp, the number of records pulled, and any errors encountered. You can view the sync history from Settings → Integrations → Notenetic → Sync History.
Who can manage the integration
The Notenetic integration can only be configured by users with the ceo or admin account role, as it requires access to Settings → Integrations.
Once connected, the Notenetic Data module (/notenetic) is accessible to ceo, admin, and support_staff roles for viewing synced data and triggering manual syncs.
Not ready for API integration?
You can use CareIncite without the Notenetic integration. Export CSVs from Notenetic and import them using
Smart Data Imports. The integration is recommended for practices that want to eliminate manual data handling entirely, but CareIncite is fully functional with CSV imports.
