Setup & Onboarding Guide

This guide walks you through the complete onboarding process for PressBoxIncite — from creating your account to verifying that your collective is ready for your athletic directors to use. Follow each step in order to ensure a smooth setup.

Create Your Account
Navigate to pressboxincite.com and click Sign Up. Enter your name, email address, organization name, and your role. After submitting, you will receive a confirmation email. Click the link in that email to activate your account and begin onboarding.
Note: The first account created for a new collective is automatically assigned the Collective Coordinator role. You can reassign this later in Settings.

Name Your Collective or Conference
Once your account is active, the onboarding flow will prompt you to name your collective or conference. This name will appear in the dashboard header, on shared schedules, and in all communications sent to athletic directors. Choose a name that clearly identifies your group of schools.

Set Your Structure Type
Select the structure that best fits your group. PressBoxIncite supports three structure types: Collective (2 to 10 schools) for smaller groups that share scheduling and standings, Conference (11 to 15 schools) which unlocks commissioner tools, championship brackets, and governance features, and Conference + Divisions (16 to 54 schools) which adds division management, division-level standings, and playoff seeding.
Tip: You can upgrade your structure type later as your group grows. Moving from Collective to Conference or from Conference to Conference + Divisions unlocks additional features without losing any existing data.

Add Your Schools
Enter each school name and the corresponding Athletic Director's email address. PressBoxIncite will send an invitation email to each AD with instructions to create their account and join the collective. You can add schools one at a time or paste a list if you have multiple schools to add at once.
Note: Schools remain in a pending state until the Athletic Director accepts the invitation and completes their profile setup. You can resend invitations from the Schools management screen.

Set Your Sports and Seasons
Configure the sports your collective will track. Select from the available sport types (football, basketball, soccer, volleyball, baseball, softball, track, and more) and assign each sport to a season (fall, winter, spring). This determines how schedules and standings are organized throughout the year.

Build Your First Schedule
Navigate to Schedule and create your first games. Select a home school, away school, sport, date, and time for each game. The schedule will automatically appear on the collective calendar and on both schools' individual views. You can create games one by one or use the bulk scheduling tool to generate a full season of matchups.

Invite Admins and Coordinators
If your collective has multiple administrators, go to Settings and invite additional users with the appropriate roles. You can assign Collective Coordinator, Conference Commissioner, or Division Admin roles depending on your structure type. Each invited user will receive an email with instructions to join.

Verify Your Setup
Before going live with your athletic directors, verify that all schools are listed, sports and seasons are configured correctly, and your first schedule is visible on the collective calendar. Check that invited ADs have received their emails and that at least one has successfully joined to confirm the invitation flow works.
Tip: Use the Testing Checklist to systematically verify every part of your setup. It covers account creation, scheduling, standings, collaboration, and governance features.
